Everyday we visit or talk to customers who have traditional telephone systems or a key telephone system. They have had these systems for 5, 10 or even 20 years. Many of these systems are end of support or end of life and even some of the manufacturers are no longer around.
So what happens if you have a critical failure? For a significant portion of the customers we visit, the answer is significant downtime. Replacement parts for some systems are now only refurbished/used so another 5 or 10yr old part gets installed to get them back up and running.
For customers, the question in their mind is; Is it time to upgrade? Should I upgrade if it’s not “broke”? Considering the technology changes in the last several years and the risks of staying with an old, end of life and end of support system, in my view the answer to both of these questions is “Yes”. Customers can start to take advantage of improvements like the ones listed below and protect their business by upgrading their system before failure.
Cost – Conversations usually start with discussions around cost and budget. For some new phone systems like the NEWT Managed Phone system, by investing in the new technology you can reduce the monthly telecom bills that you are paying today and therefore offset the investment. We often find that we can provide customers a new phone system, including the voice services, fully installed and trained, at the same or less then they are paying today monthly for existing services.
Outside the cost or investment discussion, with a new phone system you can get many other feature/functionality advantages that can help your business or improve costs to your organization.
Here are a few for you to think about when upgrading your business phone system
Access to phone calls and voicemails while out of the office
Today business is conducted on the go, employees are not always at their desks or in the office. By upgrading your phone system you can now get access to features like Find-me-Follow-me which rings your extension and other numbers like your cell phone at the same time so you can answer anywhere you are. Another popular feature is voicemail to email, which as it states will send an email with the voicemail as an attachment including indication of who it is from in the subject. You now can react in real-time to calls or voicemail without the need to return to the office.
Linking multiple offices
If your company has several offices across the country, this can be an opportunity to improve inter-office communication, reduce IT/phone system administration, and potential to reduce some operational costs by reducing reception or answering staff at some locations.
New phone systems are not all alike, but with a NEWT Managed phone system and others it is easy to connect multiple office with 3 or 4 digit dialing to reach staff in other offices. You can use the Auto-Attendant feature to answer calls for multiple locations or route calls between multiple locations. These can drive a better customer experience and also improve efficiencies in your company.
Also since it is a managed solution and each location has the same technology, this can ease the load on IT or phone administration staff. It can also be centrally customer administered therefore reducing the need for experts on the phone system at every location.
Upgrade Your IT Infrastructure for Voice
When upgrading to a new IP based phone system you need to consider the network switches and other IT infrastructure which provides voice quality and powers the phones over the network. With NEWT you get a fully managed and engineered solution including the entire IT infrastructure with the IP Phone solution. Since it’s a managed solution customers can use the NEWT support team to troubleshoot or resolve issues in the IP phone system infrastructure, all provided by a single provider – NEWT. This reduces the expense and need for your company to gain knowledge and expertise in this new technology.
Backup and Redundancy
With NEWT as a next generation phone system, part of the phone system is hosted in our network – the cloud. If your site suffers fire, flood, network or prolonged power outage, unlike your existing traditional system, your calls will not ring busy or no answer. Your calls will be answered in the cloud by Auto-Attendant or sent to voicemail. Additionally by using the Find-me-Follow-me feature and Voicemail to Email, you can also direct calls to cell phones and voicemails to your inbox so you can still answer and respond to customers.
All system configuration is also backed up in the network so no customer/IT backups are required and if your system is damaged by the fire/flood/power issue, a new system can but installed and loaded back to the latest configuration with all the system information intact.
With the new phone system comes the new features that your business can take advantage. Some of these new features we find customers enjoy are:
Direct Inward Dial, employees get a direct dialed number to reach them directly.
Conference Bridging, some new systems like NEWT include free conference bridges hosted in the cloud not on the customer phone system often eliminating the need for some extra lines.
Call Recording – recording of calls to/from your business.
For these reasons and more, we recommend customers to seriously consider a phone system upgrade if they have an older phone system even if it is not “broke”. If you are one of these customers we can help, contact us and we’ll supply a no obligation analysis of your business phone requirements.
